Site Surveys

When ordering a vending machine or any other large and/or heavy equipment from us, it is essential that customers establish whether the proposed site will be suitable, and that access arrangements to the site e.g. doors, corridors, stairs, landings etc., allow safe transport of the goods from the delivery vehicle through the relevant building(s) to the final destination. Adequate parking for a large vehicle to unload the machine/equipment, including any time restrictions, also need to be confirmed.

Please note that if it is intended to place the vending machine or equipment outside (with exposure to the elements or extreme temperature changes), or in other locations where the atmosphere is potentially corrosive to electronic or metal elements in the machine (e.g. chlorine or salt vapour in proximity to a swimming pool), the suitability of the chosen machine for the required purpose needs to be confirmed prior to order.

Not all machines are designed for the type of purposes described above, and unless machines are deemed suitable by Intelligent Vending Ltd T/a Intelligent Wholesale, and have the correct IP (Ingress Protection) status for the environment concerned, they should not be sited in such locations. Information regarding machine suitability for outside locations can be found on product pages but, if in any doubt about the suitability of the machine for a specific purpose, customers should check with us before ordering.

For vending machines and other large equipment, a site survey must be provided to Intelligent Vending Ltd T/a Intelligent Wholesale at the time of order. These details are a mandatory requirement for access, plus Health and Safety reasons, by our specialist carriers. Having prior information of any such issues will ensure there are no access problems and that the correct handling equipment for ensuring safe delivery is available on the transport vehicle.

Some equipment requires its own power or water supply and the customer will need to ensure and confirm to us that these are conveniently located. Connection to an appropriate and convenient supply is provided for some vending machines, water coolers and other equipment as part of the installation process, but it should be noted that there is a likelihood of additional charges if this is not straightforward, including if the machine/equipment needs to be sited more than a metre away from the respective service access point, and/or additional wiring or pipework is needed.

Intelligent Vending T/a Intelligent Wholesale can arrange for a site survey to be completed on a customer's behalf by our specialist carriers and we can then also provide a detailed RAMS (Risk Assessment and Method Statement) if requested. Please note this service is chargeable. Alternatively, we can supply a blank site survey form via email for completion by the customer in-house.

The importance of ensuring the site is suitable for the chosen vending machine or selected equipment cannot be over-emphasised, since once the customer's order has been processed by us full payment will be required irrespective of whether the goods are subsequently judged to be unsuitable due to size, access or suitability for purpose. There may also be abort charges and re-delivery charges levied by the specialist carrier if they are unable to deliver the equipment because incorrect information has been provided by the customer or a customer's representative.

Customers should be aware that if it is not possible to carry out either of the installation, collection, or relocation of machines or equipment because of the inadequate nature of the information provided beforehand in the site survey form, additional costs are likely to be incurred as a result of the need to return the machine to the factory, and/ or the need for a further visit and/or use of specialist equipment.
